This privacy notice covers the data collected for the purposes of the delivering the local authorities’ obligations in the government’s Homes for Ukraine Sponsorship scheme.

Purposes and lawful basis of processing
We are collecting your data for the purpose of performance of a task carried out in the public interest or official authority and in substantial public interest. We have a lawful basis for processing in substantial public interest.
Special category data is being processed on basis of substantial public interest.
What data is being collected
In order to meet our obligations, we will use the data provided to us by the Department for Levelling Up, Housing and Communities (DLUHC) which you provided as part of agreeing to participate in the scheme.
We'll also collect the name, date of birth, bank details and contact details for every member of your households aged 16 years or over. This may also include other guests and or lodgers in your property.
We may also process your special category data for example, criminal offence, adult and or children’s social care.
How will your data be used
Your data will be used for the purpose of meeting council’s obligations as part of the government’s Home for Ukrainians Sponsorship schemes, with specific reference for the local authority’s responsibility to check in on guests and inspect accommodation to ensure the guest is well and or if they have care or support need and to ensure that there are no serious safeguarding or welfare concerns.
Councils are obliged to confirm this with the Department for Levelling Up, Housing and Communities.
We will also use your data to keep you informed about support and services which the Reigate & Banstead Borough Council and our partners are providing to you and your guests.

- Surrey County Council
- DLUHC
- Relevant service areas where necessary to progress with application checks
- Disclosure and Barring service

We aim to maintain high standards, adopt best practice and regularly check and report how we are doing. Any sharing of personal data is always done on a case-by-case basis, using the minimum personal data necessary, with the appropriate security controls in place and in line with legislation.
Your data is never sold for direct marketing purposes.
Your information is not processed outside the European Economic Area.
How long we will hold your data (‘Retention’)
We will not keep your data for longer than 2 years after closure of scheme subject to any legal obligations we have to retain the data.
Your information rights
You have the right to request a copy of the information that we hold about you.
The UK GDPR and Data Protection Act 2018 also gives you additional rights that refer to how the council holds and uses your information.
Consequently, under certain circumstances, by law you have the right to:
- withdraw consent and the right to object and restrict further processing of your data; however, this may affect service delivery to you
- request to have your data deleted where there is no compelling reason for its continued processing and provided that there are no legitimate grounds for retaining it
- request your data to be rectified if it is inaccurate or incomplete
- have your data transferred or copied should you move to another authority
- not be subject to automated decision-making including profiling
